This privacy policy explains how Clean Air Fund Ltd (referred to in this policy as “CAF”, “we” or “us”) uses the personal data we collect from you and how we use cookies. For the purposes of the UK data protection laws, we are a “controller”.

The Clean Air Fund values your privacy, we are committed to using your information lawfully and we will not sell or trade your personal data with others.

By using our websites or providing us with your personal data you agree to your personal data being used and stored in the manner set out in this policy. It is important that you read this privacy notice so that you are aware of how and why we are using your information. We may update this policy from time to time without notice to you. 

What is personal data? 

‘Personal data’ describes any information about you as an individual, where you can be identified or identifiable, directly or indirectly, by reference to that information. This includes:

  • name, organisation name, job title 
  • email address and phone number 
  • identification card numbers 
  • sensitive data (such as details of your ethnic origin, or a health condition or disability) 
  • images and recordings

How do we collect your data? 

Most of the personal data we collect has been provided directly to us by you when you:  

  • Use or view our website(s) via your browser’s cookies (please see our Cookies Policy). 
  • Register for our newsletter or updates.
  • Register or attend Clean Air Fund or Breathe Cities’ events, training, gatherings or convenings in person or online (including recording and accessing recordings of these events). 
  • Apply for a job with us, become an employee (or are a former employee), Trustee, committee member, or provide services through an Employer of Record or agency, or provide consultancy or other services directly to us.  
  • Apply for funding from us, reply to a request for proposal, or become a grantee. We will only ask for as much information as we need to consider an application, proposal or request effectively, to manage an award if you are successful and to monitor its progress. In submitting an application, proposal or request, you are agreeing to us processing your data for these purposes. 
  • Voluntarily complete a survey or provide feedback in another way. 
  • Contact us with inquiries or other correspondence (including via social media, signing up for a newsletter, making a complaint) or become involved with us in another way.  

We may, in some circumstances, receive personal data about you from third parties, such as current or prospective service providers, peer organisations, charitable business partners, grantors, grantees, regulatory or law enforcement agencies, credit reference agencies or agencies conducting background checks.

Personal data may also be obtained from publicly accessible sources of information, such as professional publications and works, public databases, industry associations, social media and online professional networks. 

What data do we collect? 

If you interact in one of the ways listed above, we may collect the following data: 

  • Information that can personally identify you, such as name, email address, address, phone number, age, image, employer  
  • Information you enter onto our website or hard copy forms at an event 
  • Records of your correspondence with us, if you have contacted us  
  • Details of your visit to our website, including your IP address 
  • Financial information such as your bank or credit card details 
  • Whether you have a relationship to another relevant party (i.e., to assess conflicts of interest) 

We may collect sensitive personal information about you, such as details about a health condition or disability. We may sometimes need to collect this information if you plan to attend a Clean Air Fund event.  

Why and how will we use your data?  

We will process your personal information for one or more of the following reasons:  

  • To provide you with the services, activities, information or updates that you have requested or that fulfil our contractual obligations to you 
  • To organise and/or invite you to events, training, gatherings, convenings, collaborations, networking opportunities and roundtable discussions; to invite you to speak at, participate in or be a supplier for them 
  • To provide information about proposals and grants and to process grant applications, and to notify you about changes to our services and/or funder/grant opportunities 
  • To stay in touch with our network and facilitate networking with partner organisations in the same industry, for our own internal administrative purposes and to keep a record of your relationship with us 
  • To provide you with information about us, our events, services and projects, and information or services we feel may interest you  
  • To manage your communication preferences with us generally  
  • To ask you to participate in an evaluation or survey
  • To provide you with information about job opportunities and to process your job application   
  • To ensure that content from our website is presented in the most effective manner for you and for your computer or mobile device 
  • To comply with applicable laws and regulations, and requests from statutory agencies 

While generally we will seek consent to process your data at the point we collect it, in some cases we may process data without consent where we are legally allowed to do so, and where we have legitimate reasons for doing so, provided we respect your legal rights.  

If you request to receive no further contact from us, we will keep some basic information when required by law or to avoid sending you unwanted materials in the future.  

We will keep your personal data only for as long as it is required for the purposes for which we collected it or as required by law.  

Where is your information stored 

We store your data on our secure cloud-based servers. We implement appropriate back-up and disaster recovery solutions, and have procedures in place to deal with data breaches.

Who do we share data with?  

Your data may be processed by our staff based overseas and our overseas entities who may only do so in accordance with this Privacy Notice.

We may share your personal data with trusted partners, consultants and suppliers who work with us for the purposes explained above, such as: 

  • To obtain references for successful job applicants 
  • To deliver our projects and events 
  • To provide marketing and personalised advertising services, such as on LinkedIn or Google, but only for Clean Air Fund promotions
  • To comply with any legal obligation; to enforce agreements; to protect rights or property; or for safety/ security

When we share your personal data, we require the recipients to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third-party service providers to use your personal data for their own purposes and only allow them to process your personal data for specified purposes in accordance with our instructions.

If we need to transfer your personal data out of the UK, we put in place contracts with the recipients of that data to give your personal data the same protection overseas as it has in the UK.

Marketing 

If you have agreed to receive marketing, such as by subscribing to our newsletter, you have the right at any time to ask us to stop contacting you for marketing purposes. 

We do not sell your data to third parties for the purposes of marketing. We will not share your personal data with third parties except in accordance with this notice or when we have your permission.  

If you no longer wish to be contacted for marketing purposes and are unable to automatically ‘unsubscribe’, please contact  dataprotection@cleanairfund.org.   

Whatare your data protection rights? 

To request details of the information we hold about you, if you no longer want to receive information from us, or if you wish to update your contact details or change your preferences, simply let us know. 

We would like to make sure you are fully aware of all your data protection rights. Every user is entitled to the exercise the following rights:  

Of access – for copies of your personal data.   

Of rectification – to correct any information you believe is inaccurate or incomplete.  

Of erasure – to erase your personal data, under certain conditions.  

To restrict processing – of your personal data, under certain conditions.  

To object to processing – of your personal data, under certain conditions.  

To data portability – for us to transfer the data that we have collected to another organisation, or directly to you, under certain conditions.
